Translation of Study Abroad Preparation Materials

At the request of the Office of the CIC Study Abroad Programs, we created English versions of materials related to study abroad guidance. These materials included contract documents, application guidelines, and guidance materials for students whose first language is not Japanese. To ensure translation accuracy and maintain confidentiality, translation and proofreading in this project were undertaken using ChatGPT-4o.
Before beginning the work, all members attended a training session on how to use the tool, which helped the team build a shared understanding of translation and stay on schedule throughout the project. Although creating the style guide and standardizing the prompts were challenging, we were able to complete them through discussions.

Subtitle Translation for a Public Lecture

We were responsible for creating Japanese subtitles for a video recording of a public lecture held in July, ahead of its release. Given the highly specialized and challenging content, the style guide, glossary, and reference materials were extremely helpful. Due to the nature of subtitle translation, it was challenging to convey the meaning concisely within strict character limits, avoid repetition, and refine expressions. We soent sugnificant time refining the subtitles through trial and error until the end. We found it very important to develop a solid understanding of the content first to produce an accurate translation.

Interpreting Support for a Visiting Researcher's Lecture

For the public lecture “Interpreting Language and Culture in Conflict Zones: The Role of Interpreters in Humanitarian Assistance,” we supported venue operations, provided simultaneous interpreting for the opening remarks, and coordinated professional English–Japanese/Japanese–English interpreting and sign language interpreting services. We prepared the interpreting environment and supported the event by arranging meetings with the speaker, preparing materials, determining the positioning of the sign language interpreters, and setting up monitors. This experience provided a valuable opportunity to learn about professional conduct in interpreting settings. We also distributed posters and signage, arranged interpreting equipment on the day of the lecture, directed participants at the venue, compiled questions, and administered a feedback questionnaire. Since we had a sufficient preparation period of approximately two months, we were able to proceed with the preparations smoothly while receiving advice from faculty members. Although there were areas for improvement, such as communication with stakeholders and event-day logistics, this event welcomed more participants than expected and was successfully concluded.
